Job Description
Codeworks, an LRS company, is seeking a Project Assistant for a one-year Contract opportunity. This role offers the chance to apply your skills in support of meaningful work for one of our client partners.
Core Responsibilities
- Prioritize incoming requests and align each need with the appropriate space, resources, and level of support. Independently address and resolve requests that fall outside standard guidelines.
- Provide inclusive, welcoming, and professional customer service to build strong rapport with both internal and external guests.
- Communicate event requirements clearly to catering, facilities, audiovisual, and security teams to ensure all needs are met.
- Verify that requested event needs align with space availability and collaborate directly with clients to adjust plans when needed.
- Respond to client inquiries in a timely, respectful, and solution‑focused manner via email, phone, or in‑person meetings.
- Offer suggestions and ideas to help clients create successful events while maintaining a professional and supportive approach.
- Use event‑management systems to book and track events, including updating and managing room‑signage systems.
- Distribute Banquet Event Orders (BEOs) to clients and all support teams to coordinate event details and expectations.
Required Skills
- Support programs and events by tracking attendance, maintaining documentation, providing on‑site assistance, preparing PowerPoints, taking meeting notes, and organizing large meetings or conferences, including room setup.
- Proficiency in Microsoft Excel; ability to run light reporting and update processes with stakeholders.
- Provide comprehensive project support, ranging from administrative tasks (such as scheduling meetings) to higher‑level project coordination and budget support.
- Develop tools and templates that simplify project management processes (e.g., budgeting tools, checklists, forms).
- Write or edit project documents, including scope definitions, risk assessments, requirements documents, and RFP materials.
- Support change‑control processes and defect tracking when applicable.
- Typically requires several years of experience in project coordination, event coordination, or a related project‑support environment.
The base range for this contract position is $13.50 - $15.00 per hour, depending on experience. The range displayed reflects the minimum and maximum target for new hires of this position across all U.S. locations. Individual pay is determined by work location and additional job-related factors.
